Types of Data in Muck Rack

Data may be made available to you depending on whether you’re using the platform as a journalist or as a user on a public relations team. We group the data on Muck Rack into three categories:

Personal Data

Using Muck Rack, you will create an account with your name and email address. You also may choose to include information like a picture of yourself.

Any of the data added to your account is considered your personal data. Information you add to your Muck Rack account (e.g., the email address you use to log in) is never made available or provided to other Muck Rack users without your explicit permission.

Data Provided by Muck Rack

Muck Rack’s technology and experts create profiles for people and organizations using publicly available sources, such as news articles, online contact information, and social media posts—similar to data found on search engines like Google.

We strive to provide the most accurate and up-to-date record for each person on our platform, which is why we also encourage journalists to claim their profile and choose which information they’d like Muck Rack to provide or which data they would like hidden or removed.

Organization Data

Your organization may be using Muck Rack to access data provided by Muck Rack. You and your teammates using Muck Rack can also add data to profiles not provided by Muck Rack and organize data in the features Muck Rack offers (like Media Lists, Reports, Pitches, etc.).

When teammates in your organization choose to add and organize data in Muck Rack, it is like adding information to your team’s address book or a spreadsheet. This data may be contact information not provided by Muck Rack, notes and relationship history information related to a profile, email history, lists of profiles, etc.

NOTE: Organizational data is only available and accessible to other teammates in your organization. This data is never shared with Muck Rack users outside of your organization.

Use of Your Data for Muck Rack AI Features

In using the Muck Rack AI Features, your Usage and Customer Data (including inputs and outputs):

  • are NOT available to other customers.

  • are NOT used to train, re-train, or fine-tune Models made available to others, and your fine-tuned Models are available exclusively for your use.

  • are NOT provided to any third-party Model developer.

What type of information does Muck Rack collect/share? How long is it kept?

The data that we share is public journalist data, which may appear in a journalist profile maintained by Muck Rack if the journalist has put that information in the public domain (for example, by writing an article, making a public post on social media, or from other sources that provide such public information).

Muck Rack collects name and email addresses of Users for the purpose of processing site login and customer communications.

Muck Rack retains customer data indefinitely, but can honor deletion requests at time of contract termination.

With whom does Muck Rack share personal information?

Service providers who work on Muck Rack’s behalf, for example: IT and website support. Professional advisors including lawyers, accountant’s and insurers where we need to do so in order to comply with our legal obligations or for other business reasons.

Where does Muck Rack store data?

Data resides in the US-EAST-1 region of AWS, located in Virginia, USA.

Is Muck Rack SOC 2 certified?

Yes. Our team tests for security vulnerabilities and bugs on a regular basis, and we make any critical upgrades as soon as possible (after they are tested, of course). We also have and continue to partner with industry security experts to help make our security procedures better, and more transparent.

How can I request a copy of the Muck Rack SOC 2 report?

  1. Navigate to Muck Rack's Trust Report page.

  2. Select SOC 2 Type II Report under the Compliance section.

  3. Search for SOC 2 and select the option from the list, then select the Continue button.

  4. Enter the requested contact information and select the Send Request button.

Is my entire organization required to use two-factor authentication (2FA)?

Yes; because multiple people in your organization can access Muck Rack, everyone must follow the same security best practices.

When your entire organization is required to enable two-factor authentication, all users with a Muck Rack account will set up two-factor authentication when they log in to their account next.

What is data encryption and how does Muck Rack approach this?

Data encryption is the process of transforming data from a readable format into code.

Data that passes through Muck Rack is encrypted in transit and at rest. All connections from the browser to the Muck Rack platform are encrypted in transit using TLS 1.2 at a minimum (TLS 1.3 preferred), and at rest using AES-256.

How does Muck Rack perform data backups?

Incremental (for point in time recovery) and full nightly backups are taken and secured in geographically distributed locations within the AWS network.

What is Muck Rack's Privacy policy?

The Muck Rack Privacy Policy describes our policies on the collection, use, disclosure, of information about Customers in connection with your use of the Muck Rack Services. The Privacy Policy outlines the personal information that Muck Rack may collect, how Muck Rack uses and safeguards that information, and with whom we may share it.

How do I report a security issue?

If you have discovered a security issue, please report it by emailing us at hello@muckrack.com.

What else can I do to protect my data?

  1. Your organization can request Single Sign-On (SSO) to reduce the risk of password breaches as users are less likely to reuse weak passwords across multiple platforms.

  2. Use a password manager to generate a strong, random password with more than 8 characters, integers or symbols.

  3. Do not share login credentials, passwords or two-factor codes with anyone (even your teammates!)
