Set up your email connection to send pitches through Muck Rack

Connect Your Email to Muck Rack

You can connect your email (Gmail, Outlook, etc.) to Muck Rack. Once your email address is connected, any email sent is automatically logged on the journalist’s profile and appears in your email outbox.

  1. Select your name in the top right-hand corner, then select Settings.

  2. In the Pitches > Email Integration section, select Connect Email.

  3. Follow the prompts to authenticate and connect your email.

  4. Check the test email status on the View connection status page. (Settings > Pitches > Email Integration > View connection status)

Muck Rack is a public relations platform with 3 main features:

One of our core features is the ability to send and track emails from the Muck Rack platform to our database of contacts. We have the most up-to-date security and privacy practices (SOC 2, two-factor authentication - also known as 2FA or MFA - is required, GDPR compliant - view our Trust Report here). We also discourage mass emails and large contact lists.

What does connecting an inbox to Muck Rack do?

Connecting your email address in Muck Rack lets you use Pitches to send journalists personalized emails. Once your email address is connected to Muck Rack, any email sent will be automatically logged on the journalist’s profile, and it will also appear in your connected inbox's Sent folder.

What if I use a different email address to log into Muck Rack than I send emails from?

We recommend you contact our Support team to discuss options. Contact support by choosing the chat icon in the bottom right-hand corner of the screen and selecting Messages > Send us a message.

How do I set up email integration?

You can find the integration link by navigating to your Settings or through this direct link to our email setup page.

If you cannot integrate your email using the link above, you'll need to contact your IT Team to integrate your email successfully. They may ask you to describe the integration details and what the Muck Rack platform does. Below is a template you may use when communicating with your IT Team.

Outlook Admin credentials will be required to integrate if your organization uses Outlook. Ensure your IT Team knows this final step to complete email integration with Muck Rack.

How do I reconnect my expiring email integration connection?

You’ll navigate to your Settings or through this direct link to our email setup page and disconnect your current email integration, then follow the prompts to reconnect.

NOTE: Please ensure all pitches have been delivered (with updated statuses) to avoid service disruption. Schedule Pitches will not be affected.

What is the difference between choosing "Outlook (IMAP)" and "Office 365 (OAuth)" when integrating my email with your platform?

When integrating your e-mail with our platform, you may encounter the option to choose between IMAP or OAuth. OAuth involves creating a grant with an access token, while IMAP involves creating a grant through username and password. Muck Rack offers this functionality through a partnership with Nylas. What does Muck Rack do with the body text of emails I send through the platform?

Muck Rack only uses the text of your emails to display the emails on the recipient's profile or in your Activity. Muck Rack doesn’t share that information with people outside your team, sell it, or engage in any anonymized collection of email bodies for analytics.

How long will it take for my emails to send?

When sending a pitch, clicking Send Now will immediately begin sending your batch of pitches. Pitches sent with an Email Integration are sent directly from your email client, which means that pitches to hundreds of recipients may take time to process in your queue fully.

The length of time will vary widely. We recommend reaching out to our Support team for more information if you are concerned about the length of time. Contact support by choosing the chat icon in the bottom right-hand corner of the screen and selecting Messages > Send us a message.

Why can’t I see messages in my Sent folder?

If you’re not seeing messages in your Sent folder, it’s likely due to an email configuration issue.

This can occur when the “Sent Items” folder is not properly set to save or forward sent emails.

We first recommend that you disconnect and then reconnect your email.

If the problem persists, please contact your IT team to review and adjust the email settings to ensure messages are correctly displayed in the Sent folder.

Once my email address is connected, will emails I send outside of Muck Rack be automatically logged?

No. Emails sent outside Muck Rack are only logged once they’ve been forwarded or BCC’d to prm@muckrack.com.

If I connect my email address, will it impact sending newsletters?

Email Integrations do not apply to sending Newsletters on Muck Rack. By default, Newsletters sent through Muck Rack will come from noreply@muckrack.com.

To send Newsletters through Muck Rack from your email address, contact us. We’ll share information and steps with your IT team.

How many emails can I send once my email is connected?

Once you’ve connected your email address, the number of emails you can send on Muck Rack is based on your email client’s existing limits.

Every email provider allows a different number of emails to be sent in a given day. Once you’ve connected your email, your account is allocated a daily email limit. By default, your daily email limit on Muck Rack will be 20% less than your email client’s default limit.

For example, if Google allows you to send up to 500 emails, you would see a limit of 400 emails in Muck Rack.

The number of emails you send through Muck Rack or your email client outside of Muck Rack contributes to your daily limit. Exceeding your email client’s sending limits can result in being locked out of your email account (sometimes for 24 hours).

If you exceed your email client’s limits, we cannot help or assist in unlocking their email account.

Can I connect multiple email addresses in Muck Rack?

Only one email address can be connected per user in Muck Rack.

How does Muck Rack handle security with Email Integrations?

What email information is accessible to Muck Rack when I integrate my email?

We use a third-party partner, Nylas, that enables you to integrate their mailbox with Muck Rack directly. Right now, this integration only uses a scope to send emails—meaning we only have permission to access data in emails sent through Muck Rack. No data is accessible for emails sent outside of the integration/outside of Muck Rack or throughout a user’s inbox. There are no permissions to read contacts or calendars.

NOTE: Our platform may require broader access, such as "full ActiveSync access" from a Microsoft Graph perspective. These permissions are necessary to ensure the smooth operation of features like syncing emails and managing calendar events. Rest assured, we take the security of your data seriously and adhere to industry best practices to safeguard your information.

What are Google and Yahoo's email sending requirements and how do I follow them?

For PR teams, the following key actions are recommended:

  1. Email Authentication Setup:

    • Verify that email authentication measures (e.g., SPF/DKIM/DMARC) are correctly configured. Refer to instructions from:

    • Implement a one-click unsubscribe feature to enable recipients to easily opt out of unwanted emails.

  3. Spam Monitoring and Compliance:

    • Monitor spam rates and ensure emails are relevant and engaging. Refer to Muck Rack's Email Deliverability Checklist for guidance.

    • Both Yahoo and Gmail will enforce a spam complaint threshold of 0.3%. Exceeding this threshold may lead to increased blocked emails or redirection to the bulk folder.

    • Google provides visibility into an organization’s spam complaint rates through Google Postmaster Tools.
