When pitching in Muck Rack, email communications can be affected by several settings and options. In this article, we will explore how your pitches are affected by the technical factors of email and how to navigate them.

Connect Your Email to Muck Rack

You can connect your email (Gmail, Outlook, etc.) to Muck Rack. Once your email address is connected, any email sent is automatically logged on the journalist’s profile and appears in your email outbox.

  1. Select your avatar in the top right-hand corner, then select Settings.

  3. Follow the prompts to authenticate and connect your email.

Email Sending Limits

All accounts in Muck Rack that have connected their email address for pitching are subject to an email-sending limit set by their email client. Within Muck Rack, your limit will be 20% lower than your email client's default daily limit.

These safeguards (also called your limit or quota) help maintain the trusted relationship between Muck Rack, journalists, and the internet service providers that ensure emails are successfully delivered.

NOTE: If you exceed your email client’s limit, Muck Rack cannot help or assist in unlocking your email account.


Sending Limits If You Don't Integrate Your Email

Organizations that choose not to connect their email will have emails sent from a generic, non-customized email address (noreply@msgsnd.com) and may experience problems with delayed or missing emails.

Contact Customer Support via our chat widget in the bottom right corner for instructions on setting up the best sending address for your organization.

If you’re aware of an upcoming campaign or project that will require an increased email quota, we suggest you submit a request to increase your sending limits in advance.

⚠️ Important: Domain Name System (DNS) records are required to make this request.


Request an Email Sending Limit Increase

To apply for higher sending limits on Muck Rack, an Admin for your organization on Muck Rack must submit the email sending limit increase request form.

This form should be submitted when your organization has exceeded the quota, and, likely, you will either:

  • Frequently exceed the quota in subsequent months, or

  • Exceed the quota due to an upcoming pitch in the current month

⚠️ Important: If you routinely exceed the quota month after month, failure to submit a request to increase your sending limits may result in reduced quotas in future months.

After your request is received

  • We typically respond to requests for limit increases within two business days via email.

  • In some cases, we might contact you to request additional information or provide steps that will serve as prerequisites before your sending limits can be increased.

  • If your request for increased sending limits is denied, you can resubmit the request form 30 days after it was initially submitted.

NOTE: Sending limit requests are evaluated based on various factors, including your adherence to Muck Rack’s email-sending guidelines. Requests for increases to email sending limits can be approved in full, partially approved, or denied.


Email Logging

Email Logging on Muck Rack makes tracking your relationship history simple. By BCC or forwarding your emails, the content of your message is added automatically as an Activity on each journalist’s profile. The activity includes the content of your email thread so your team can see how pitches were responded to, which meetings took place, and important details that have helped each of your campaigns come to life.

See Unsubscribers

It's easy to see which journalists have unsubscribed from your emails, allowing you to avoid sending future outreach to those contacts.

  1. Go to Relationships > Pitches and select a Pitch from the list.

  2. Select the Unsubscribed filter.

  3. View details such as the date they unsubscribed.

NOTE: Email addresses are automatically added to your email suppression list after a recipient unsubscribes from emails sent by your organization through Muck Rack. This list is accessible via Settings > Pitches > Email suppression.


Do Not Contact List

The Do Not Contact List contains profiles marked as Do Not Contact by your teammates. These people will not be sent emails through Muck Rack, and all contact information is hidden on their profile.

You can view your Do Not Contact list under Settings > Pitches > Do Not Contact:

From any journalist's profile, you can see if they have been marked as "Do Not Contact" and whether this was manually done by your team or automatically done after they unsubscribed from a pitch email:

Add Someone to Your Do Not Contact List

You can add someone to this list using the Contact Preferences section on any journalist's profile.

  1. Select Add Contact Preferences or mark as Do Not Contact.

  2. Select the checkbox in the Do Not Contact box.

Editing Permissions

When editing a profile, all teammates can mark profiles as Do Not Contact from the Contact Preferences section. When saved, the most recent text in the Contact Preferences field will display on the profile, all contact information will be hidden, and pitches will not be sent to this person in the future.

Organization Admins can remove profiles from the Do Not Contact list and edit Custom Contact information. That way, you can easily add email addresses or phone numbers that your team should not use to any existing profile.


Email Suppression List

The suppression list contains email addresses that cannot be sent to via Muck Rack. Unsubscribed email addresses and email addresses that are undeliverable because of past bounces are automatically added to the list.

The email suppression list can be found in Settings > Personal settings > Pitches > Email suppression:

What does connecting an inbox to Muck Rack do?

Connecting your email address in Muck Rack lets you use Pitches to send journalists personalized emails. Once your email address is connected to Muck Rack, any email sent will be automatically logged on the journalist’s profile, and it will also appear in your connected inbox's Sent folder.

What if I use a different email address to log into Muck Rack than I send emails from?

Contact us, and we’ll set up your account so you can connect the email address you send emails with to Muck Rack without changing your login email address.

Please note that Email Integration does not support sending with an alias today. You can only send emails via Muck Rack from the email address you use to log into your email client (Gmail, Outlook, etc.).

How do I set up email integration?

You can find the integration link by navigating to your Settings or through this direct link to our email setup page.

If you cannot integrate your email using the link above, you'll need to contact your IT Team to integrate your email successfully. They may ask you to describe the integration details and what the Muck Rack platform does. Below is a template you may use when communicating with your IT Team.

Outlook Admin credentials will be required to integrate if your organization uses Outlook. Ensure your IT Team knows this final step to complete email integration with Muck Rack.

How do I reconnect my expiring email integration connection?

You’ll navigate to your Settings or through this direct link to our email setup page and disconnect your current email integration, then follow the prompts to reconnect.

NOTE: Please ensure all pitches have been delivered (with updated statuses) to avoid service disruption. Schedule Pitches will not be affected.

What is the difference between choosing "Outlook (IMAP)" and "Office 365 (OAuth)" when integrating my email with your platform?

When integrating your e-mail with our platform, you may encounter the option to choose between IMAP or OAuth. OAuth involves creating a grant with an access token, while IMAP involves creating a grant through username and password. Muck Rack offers this functionality through a partnership with Nylas. Please see the specific Nylas page for more information: OAuth and IMAP.

What does Muck Rack do with the body text of emails I send through the platform?

Muck Rack only uses the text of your emails to display the emails on the recipient's profile or in your Activity. Muck Rack doesn’t share that information with people outside your team, sell it, or engage in any anonymized collection of email bodies for analytics.

How long will it take for my emails to send?

When sending a pitch, clicking Send Now will immediately begin sending your batch of pitches. Pitches sent with an Email Integration are sent directly from your email client, which means that pitches to hundreds of recipients may take time to process in your queue fully.

Pitches to 500 recipients can take anywhere from 10 to 15 minutes for all recipients to receive your email. Pitches over this amount can take a bit more time but aren’t recommended practice when building relationships with journalists.

Why can’t I see messages in my Sent folder?

If you’re not seeing messages in your Sent folder, it’s likely due to an email configuration issue.

This can occur when the “Sent Items” folder is not properly set to save or forward sent emails.

Please contact your IT team to review and adjust the email settings to ensure messages are correctly displayed in the Sent folder.

Once my email address is connected, will emails I send outside of Muck Rack be automatically logged?

No. Emails sent outside Muck Rack are only logged once they’ve been forwarded or BCC’d to prm@muckrack.com.

If I connect my email address, will it impact sending newsletters?

Email Integrations do not apply to sending Newsletters on Muck Rack. By default, Newsletters sent through Muck Rack will come from noreply@muckrack.com.

To send Newsletters through Muck Rack from your email address, contact us. We’ll share information and steps with your IT team.

How many emails can I send once my email is connected?

Once you’ve connected your email address, the number of emails you can send on Muck Rack is based on your email client’s existing limits.

Every email provider allows a different number of emails to be sent in a given day. Once you’ve connected your email, your account is allocated a daily email limit. By default, your daily email limit on Muck Rack will be 20% less than your email client’s default limit.

The number of emails you send through Muck Rack or your email client outside of Muck Rack contributes to your daily limit. Exceeding your email client’s sending limits can result in being locked out of your email account (sometimes for 24 hours).

If you exceed your email client’s limits, we cannot help or assist in unlocking their email account.

Can I connect multiple email addresses in Muck Rack?

Only one email address can be connected to your account in Muck Rack.

How does Muck Rack handle security with Email Integrations?

What email information is accessible to Muck Rack when I integrate my email?

We use a third-party partner, Nylas, that enables you to integrate their mailbox with Muck Rack directly. Right now, this integration only uses a scope to send emails—meaning we only have permission to access data in emails sent through Muck Rack. No data is accessible for emails sent outside of the integration/outside of Muck Rack or throughout a user’s inbox. There are no permissions to read contacts or calendars.

NOTE: Our platform may require broader access, such as "full ActiveSync access" from a Microsoft Graph perspective. These permissions are necessary to ensure the smooth operation of features like syncing emails and managing calendar events. Rest assured, we take the security of your data seriously and adhere to industry best practices to safeguard your information.

An email address is listed on the suppression list, but it’s the correct email for this contact. What happened?

There are many common reasons an email address may result in a bounce.

If you believe an email address on your email suppression list is correct, please contact us, and we are happy to investigate why the recipient is on your email suppression list.

If a recipient is marked as undeliverable, did the email land in their junk or spam folder?

No. An undeliverable email doesn’t make it as far as the junk or spam folder. If the email was sent to a recipient's junk folder, their email address will not appear on the suppression list.

What happens when an email address is on the email suppression list?

Emails that are on the email suppression list cannot be added as recipients to future pitches.

How to request an email be removed from your email suppression list.

If there is an email address on the suppression list that should be removed, contact us with the email address of the person on the recipient list and confirmation that the person would like to continue receiving emails (e.g., a response to another email you’ve sent the recipient since they were added to your email suppression list in Muck Rack).

What are Google and Yahoo's email sending requirements and how do I follow them?

For PR teams, the following key actions are recommended:

  1. Email Authentication Setup:

    • Verify that email authentication measures (e.g., SPF/DKIM/DMARC) are correctly configured. Refer to instructions from:

    • Implement a one-click unsubscribe feature to enable recipients to easily opt out of unwanted emails.

  3. Spam Monitoring and Compliance:

    • Monitor spam rates and ensure emails are relevant and engaging. Refer to Muck Rack's Email Deliverability Checklist for guidance.

    • Both Yahoo and Gmail will enforce a spam complaint threshold of 0.3%. Exceeding this threshold may lead to increased blocked emails or redirection to the bulk folder.

    • Google provides visibility into an organization’s spam complaint rates through Google Postmaster Tools.

What do I do if I receive the following message?

"Heads up! Large email lists (500+ recipients) can lead to slower delivery times and may require resends, as most email clients aren't built for such volumes. For faster sending, consider smaller groups or contact our team for assistance with DNS setup for large-volume pitching."
