Sending important news about your company, competitors, and industry is crucial for ensuring your organization's colleagues are equipped with must-know information.

Muck Rack's Newsletters feature customizable templates for showcasing press hits and important news. Save time with consistent templates, add articles seamlessly using Article Search and Coverage Reports, and track engagement by monitoring open and click rates.

Create a Newsletter

Every Newsletter has a template that can include your logo, brand’s colors, and a customized header and footer. Instead of spending your time fretting over the design of an email, your template will be applied to all future Editions sent.

NOTE: By default, each team using Muck Rack has access to one template. If you'd like to set up multiple Newsletter templates, contact our support team through the chat icon in the bottom-right to share your use case for additional templates.

  1. From the Navigation bar, select Reporting > Newsletters.

  2. Select Create New.

  3. In the General section, enter a name, choose how often editions will be sent, enable Email tracking, and add or create a subscribers list.

  4. Format your newsletter template using the settings available.

  5. Select the Save button.


Set Up a Newsletter Edition

As you set up your Newsletter edition, you will have options to customize the look and feel of what you send to your subscribers. Use the video and the table below to learn more about how to customize your Newsletter.

You can preview your changes anytime during customization using the Preview tab:

Displays details for the articles sent. You can select any/all of the following:

  • Article author

  • Media outlet

  • Article Sentiment

  • Show Media outlet UVM

  • Date published

  • Text snippet from the article

  • Share on X (Twitter)

  • Share on LinkedIn

Here is what an article link looks like with all options enabled:


NOTE: If no sentiment is available or selected, the default will show a blank field where Sentiment would be in the Preview.

Color Customization

Article links color: Each article link in your Newsletter will appear with the title of the article, hyperlinked to the article hosted on the Media Outlet website. Select a color or enter a color hex for each link title.

Section headings color: Sections help organize articles in an Edition of your Newsletter. The section title color can be customized by selecting a color or entering a color hex.

Email header

The email header is used for copy or logos that should be included in every Edition of your Newsletter. This may be a standard greeting or overview of what’s included in your organization’s Newsletter. The header of your Newsletter can also be edited before every Edition is sent.

If you're including a logo in the header or footer, be aware that the full width of the email is about 600px. To achieve the best appearance and resolution, a good size guideline for a full-width image in the header or footer would be a width in the 600px to 1000px range.

Add, remove, or edit sections

Sections help organize articles in each Edition of your Newsletter. Sections added to your Newsletter Template will be automatically included when you create a new Edition but can also be removed before an Edition is sent.

Creating a Section in your Newsletter Template allows you to easily add articles to your Newsletter from Article Search or Coverage Reports.

Commonly used sections are:

  • Company news

  • Competitors news

  • Industry news

  • Campaign specific news

Enter a description for each section that is also added to an Edition of your Newsletter to explain what type of articles are included.

Email Footer

The email footer is used for a signature, copy, logos or address that should be included in every Edition of your Newsletter. The footer of your Newsletter can also be edited before every Edition is sent.

Add Links to Your Newsletter

You can add links to key coverage in your newsletter in three different ways: directly from the search results, from a Coverage Report, or from the Newsletter Compose step.

Add Links from Search Results

  1. Select the checkbox next to the article you'd like to add.

  2. From the blue action bar that appears select the Add to Newsletter button.

  3. Select the Newsletter Edition you'd like to add the link to.

  4. Select the Section you'd like to add the link to.

Add Links from a Coverage Report

We recommend this as the quickest, easiest method to add links from an existing Coverage Report.

  1. From the Articles tab of a Coverage Report select the checkboxes next to the article links you'd like to add to your Newsletter.

  2. From the blue action bar that appears, select the Add to Newsletter button, then select the newsletter you'd like to add the links to.

  3. Select the section of the chosen Newsletter where you'd like the linked article to appear.

Add Links from the Compose Step

We recommend this method if you'd like to add links using URLs or if you'd like to add links not already included in a Coverage Report.

  1. Be sure to copy the URL of the desired article link(s) first.

  2. Navigate to Reporting > Newsletters, then select the Newsletter you'd like to add the link to.

  3. Select the Edition you'd like to add the link to.

  4. From the section where you'd like to include the link, select the Add links button.

  5. From the Add Links to Newsletter page, paste any links you'd like to add to that section into the text field, separating multiple links with line breaks, then select the Add links button.

Create A Newsletter Subscriber List

Subscriber Lists organize the people who will receive each Edition of your Newsletter. Recipients added to your Subscribers List will only receive future Editions of your Newsletter.

Newsletters are designed to share coverage internally with your colleagues, so Subscribers Lists are built to only accept email addresses that match your organization's domain.

You can create your Newsletter Subscriber Lists by visiting Reporting > Newsletters > View Subscriber Lists:

Select the name of your Subscriber List to manage an existing Subscriber List, or click Create New to create a new Subscriber List:

Bulk Import Your Subscribers List

Contact us if you’d like to bulk import your Subscribers List, add a person to your subscriber list outside of your organization, or learn more about sending a Newsletter to an existing internal email distribution list. Your Subscribers List can include up to 5,000 people.

If you are sending over a file for our team to import, it needs to be an xlsx file with a header with at least the following columns first name, last name, and email. If some rows are distribution lists, you can add an additional is distribution list column and set it to yes.


Send Your Newsletter Edition

  1. Go to Reporting > Newsletters then select a Newsletter from the list.

  2. Select the name of the newsletter you'd like to send an edition for.

  3. Select the Create Edition button in the top right.

  4. Complete the Setup step by choosing an Edition Name and adding or editing Sections as you see fit.

  5. Complete the Compose step by adding an Email subject line, editing your Email header, adding links to your sections, and editing your Email footer. You can select the Preview button at the top to see what it looks like, then select the Next Step button to proceed.

  6. Complete the Review & send step by reviewing the newsletter and sending details, sending a test edition if desired, then choosing whether you'd like to schedule the newsletter edition to send later. If you'd like to send immediately, select the Send now button at the bottom.

  7. When asked if you're sure, select the Send now button.

  8. Once sent, you will be taken to an Edition details page which shows the status of each newsletter edition email.
